Job Summary
Under the direction of the Executive Director and the SJMC Board of Directors, the Fundraising and Marketing Coordinator is responsible for the procurement of all fundraising and donor development strategies. The role supports the Board of Directors and Executive Director’s Fund Development and Strategic Planning processes including annual fundraising events, donor development communications and partnerships, bequest development, marketing, acknowledgement and tracking of gifts and donations, and community awareness. This role assists the Executive Director with the development of grant proposals, grant program and fiscal data reporting and helps moves the clinic forward into the development and implementation of internal and external goals that reflect the agency’s mission.

Responsibilities:
1) Leadership and Planning
? Develop, oversee, implement the Fund Development Plan including reporting about the successes and challenges of approved methods of annual fundraising, event coordination, and major gifts and grant funding.
? Present, coach, and educate SJMC Staff and Board of Directors about the Fund Development Plan and donor cultivation and development principles.
? Provide the Executive Director and Fund Development Committee with ongoing financial analysis and reports on the implementation and success of fund raising strategies and adjust strategies as necessary to achieve goals.
? Have knowledge of and oversight of data and trends from contributions, grants, fundraiser, in-kind support (including medical supplies, healthcare services),

government contract grants, etc.
? Knowledge and/or continued following of federal and state policy changes that
may affect charitable giving and/or tax code. Knowledge of and continue
professional development on nonprofit giving trends including participation in
nonprofit webinars, conferences, and learning sessions. In Waukesha County, the
Westenders group meets quarterly and discusses fundraising principles.
2) Fund Development
? Identify, cultivate, solicit and steward major donor prospects for engaging
Executive Director, Board and Fund Development Committee leadership when
appropriate.
? Research charitable foundations and identify potential of grant proposals based on
St. Joseph’s Medical Clinic Inc. strategic, programmatic, and operational needs.
As a member agency of the National Association of Free and Charitable Clinics,
Grant Station, a research tool may be annually provided to member agencies at a
free or reduced rate.
? Develop relationships with foundation personnel and develop grants to corporate,
private and family foundations. Confer with Executive Director, Board, Fund
Development Committee, and Program Committee whenever necessary in this
process.
? Develop and maintain tracking tool that illustrates Letter of Intent (LOI) and
Request For Proposal (RFP) deadlines, and key facts regarding the foundation
including impact area, average size of grant, and known contacts between SJMC
Board of Directors or Staff and foundation personnel, etc.
? Assist the Executive Director in the development of grant proposals including
proposal narrative, program development, proposal and agency budgets,
development of potential outcomes reporting, and other materials as requested.
? Assist the Executive Director in reporting tools and schedules for awarded and
secured grants, as required by each foundation. Reporting information may
include program and outcome reporting, fiscal reporting, program and patient
success stories, etc.
? In partnership with Executive Director, Board of Directors and Fund Development
Committee build and sustain relationships with current, new and potential major
donors through the development and management of a comprehensive
stewardship program.
? Assist in the identification of lapsed donors and coordinate outreach strategies to
new and lapsed donors (Mailings, Phone Banks, Phone Calls, etc).
? Attend bi-monthly Fund Development Committee meetings, and Quarterly
Program Committee if necessary.
? Coordinate annual appeals, mail and email campaigns.
? Assure that the organization and its mission, programs, and services are
consistently presented in strong, positive image to community and stakeholders.

3) Donor Cultivation and Data Management
? Oversees entry process of donor and supporter contributions in donor database
programs.
? Develops thanks you’s, acknowledgements and communications to donors.
? Assists in development of mailings lists and donor trending analysis.
? Assists with outreach strategy and development and track results.
? Attends trainings on donor database and donor cultivation principles.
4) Marketing
? Assist with the development of marketing-related materials including brochures,
website, social media, press release, and other marketing materials for hardcopy
print, email campaigns, and presentations.
? Development website and Facebook messaging, posts, and event schedules.
? Assist organization’s initiative in the development of Marketing and Rebranding
efforts and maintain strategies.
5) Annual Fundraiser and Gala Coordination
? Annually develop, coordinate, and implement annual fundraiser gala including:
o Form special event planning subcommittee and lead the monthly special event
planning subcommittee
o Serve as liaison between the gala committee and SJMC
o Development of annual fundraiser gala theme, colors, logo, and branding
o Coordination of venue, vendors, auction services, program schedule and book
including speeches, presentation, videography, photos, etc
o Manage the solicitation process for the event - solicit sponsorships,
advertising, and donations online requests, emails, mailings and in person
solicitation. Recruit others to assist
o Meet with potential donors, sponsors, and advertisers as need
o Track all sponsors and advertisers along with the submitted ads
o Develop marketing plan and timeline for gala
o Coordinate media relations regarding the plans and announcements
o Post media promotions on website and social media
o Coordination of Live and Silent Auction Baskets
o Along with committee member, coordinate raffles/games along with prizes
o Graphic Design and Marketing including design tickets, program, invitations
o Along with a committee member, develop slide set for the gala including
sponsors, live auction and fund-a-cause
o Work with committee member on table assignments, bidder number
assignments and ensure that an accurate registration form is developed
o Coordinate printing of materials with printer
o Prepare special event financial report and develop and maintain Gala Expense

Budget. Report Gala Expenses and Income to Fund Development Committee
o Assist with event volunteer recruitment and training.
o Manage the tracking and reporting of volunteer hours
6) Communications and Community Relations
? Participate in community agencies collaborations and partnerships to support
SJMC’s Mission.
? Participate in Wisconsin Association of Free and Charitable Clinics, National
Association of Free and Charitable Clinics and regional initiatives to be aware of
trends and changes that impact services when appropriate. Attend required
trainings and seminars through United Way and other inter-agency forums.
? Attend Community Outreach fairs, events, and donor presentations including with
churches, service clubs, and foundations.
7) Administrative
? Assist Executive Director and Treasurer in annual audit processes including
responding to auditor/external accountant inquiries regarding grant contracts and
grant budgets.
? Assist in annual year-end and mid-year United Way reporting including program
deliverables, outcomes, and communicate anticipated grant and/or program changes.
? Other duties as assigned.
Qualifications:
Education and Experience
1) Work experience or Bachelor’s Degree with a major in communications, marketing or
other applicable area such as fund raising experience
2) At least 3 years’ experience in marketing work, nonprofit fundraising or development
setting
3) Experience in seeking funding support from potentials donors, foundations and organizations
Skill
1) Documents success in researching and acquiring sources of grant funds
2) Excellent writing, verbal and communication skills
3) Demonstrated knowledge and experience in fund development activities including major
gifts, endowments and special events.
4) Working knowledge of donor based software programs, MS word including word, excel
and power point
5) Has intermediate or high skill level in using MS Office Word and Excel
6) Has experience working in databases, web-based a plus
7) Is highly attentive to detail work and in meeting deadlines
8) Self-directed and independent with the ability to prioritize
9) Has ability to creatively problem solve

The Fundraising and Marketing Coordinator reports directly to the Executive Director.
